You pay for the people you care for — nothing else. The family portal is included, with unlimited carers and office staff.

£8.00per client, per month

Minimum £80.00 a month, which covers your first 10 clients. Above that it is a flat £8.00 for each client. No VAT — we are not VAT-registered.

What counts as a client? Anyone you are actively caring for. Clients in hospital or on respite still count, because their records stay live in Babiha. People who have been discharged, or who have passed away, are never billed for. Record retention is governed by our agreement and your agency’s legal obligations.

Changes take effect on your next bill. We count your clients once a night. Take on a new client mid-month and you will never see a surprise part-month charge.

Is Babiha built for CQC compliance?

Babiha includes tools for organising evidence around CQC’s five key questions, preparing the Provider Information Return, and recording incidents and statutory notifications, alongside audits, training and safeguarding records. These help agencies in England prepare and review their evidence. Your agency remains responsible for checking current CQC guidance, making required submissions and meeting its regulatory duties; the software does not confer approval or a rating.

Where is our data stored?

The primary database and file storage are hosted in the UK, in London. Other providers and their overseas processing are described in our privacy notice and sub-processor list. Agency access policies and encryption protect sensitive fields; UK database hosting is not a promise that all processing stays in the UK.

Does the carer app work offline?

The carer app is in development and is not yet available from app stores. Its offline features are designed for supported visit tasks using data already available on the device, with pending changes syncing when a connection returns. Feature availability depends on the released app version.

What do families actually see?

The family portal supports visits, care plans, medications, wellbeing, shared photos and messaging. What a relative can access depends on their authorised relationship, the agency’s sharing settings and the client’s consent where required.

Can we get our data back out?

The platform includes exports for supported records and reports, including spreadsheet and PDF formats where available. For a wider data return or account closure, contact support; the Data Processing Agreement explains your agency’s return and deletion rights.

Is it really free to start?

Yes. You get 30 days free with no credit card — create an account and use the whole platform. Nothing is charged automatically when the trial ends; you choose whether to add a payment method.

How much does Babiha cost?

£8 per billable client, per month, with an £80 monthly minimum covering your first 10 clients. The plan includes the web platform and family portal, with unlimited carers and office staff. The companion carer app is planned within the same subscription and is currently in development. No VAT is currently charged.

Which clients am I charged for?

Clients marked active, in hospital or on respite are billable. Pending, inactive, discharged and deceased clients are excluded from the count. Record retention follows your agency’s instructions and applicable requirements. Client counts are checked daily and changes apply to the next monthly invoice, without part-month charges.

What happens if I stop paying?

After notice and the 14-day grace period, an unresolved payment or expired trial moves the account to read-only. Your team can view and use available exports, but cannot add or amend care records until billing is restored. Non-payment does not itself delete care records; retention and account closure follow the Data Processing Agreement.

Is the carer app on the App Store?

Not yet. The companion carer app is in development and testing, and is coming soon to iOS and Android. The web platform and family portal are available to try today.
